Hazard Communication

What chemical management platforms are worth shortlisting in 2026?

Some vendors advertise access to millions of SDSs. That mattered when getting a sheet meant writing to a supplier and waiting weeks for a reply. Today, easy administration, effective hazard communication and a frictionless employee experience rule the day.

The best chemical management platform is the one that matches your legal obligations, is easy to roll out to your sites and is effortless for the people who will use it every day. We recommend that before you compare feature lists or book demos, get clear on what the law actually expects of you. Then shortlist the platforms that cover those obligations at a price and effort level your team can sustain. Finally, ensure that the vendors you shortlist can demonstrate a modern and frictionless user experience for your end users.

Much of the software in this category was designed and built in the early 2000s, long before smartphones and connected devices were common on the plant floor, so simply reproducing a digital copy of a Safety Data Sheet is not going to cut it. Workers need the right safety information on a familiar device in seconds, and in a format they can read under pressure.

Workplace chemical rules have also changed in several major jurisdictions over the last two years. In the United States, employers must update workplace labels, hazard communication programs and training for substances by November 20, 2026, under OSHA's revised Hazard Communication Standard . Canada's WHMIS transition ended on December 14, 2025 . The EU's revised CLP Regulation is phasing in label changes through 2028. If your current system cannot keep up with these changes, now is a good time to look again.

Start With Your Obligations

Most workplace chemical rules share a common base: the United Nations Globally Harmonized System of Classification and Labelling of Chemicals (GHS). That is why OSHA HazCom in the US, WHMIS in Canada, COSHH and GB CLP in the UK, and CLP and REACH in the EU ask employers for similar things, even though the wording and enforcement differ. If you operate in Australia, Japan, Brazil or elsewhere, your local rules are very likely built on GHS too, so the topics below still apply.

These are the workplace compliance topics any platform on your shortlist should handle. Under each one, you will also see how sdsLite, Hypertrain.ai's SDS management platform, meets it. sdsLite supports OSHA HazCom, WHMIS, COSHH and CLP/GHS. A single-site licence starts at $1,500 USD per year for up to 200 SDSs.

Safety Data Sheet Access

You must keep a safety data sheet for every hazardous product and make it readily available to workers during every shift. In the US this comes from OSHA 29 CFR 1910.1200(g). Canada sets it through WHMIS and federal and provincial OHS rules [LINK: CCOHS, WHMIS legislation by jurisdiction]. The UK covers it under COSHH and UK REACH, and the EU under Regulation (EC) No 1907/2006.

How sdsLite helps: Every employee, contractor and first responder can open your SDS library by scanning a QR code or visiting a URL, with no login. Point of Use Libraries let you build a separate library for each work area, so the QR code at the paint booth opens only the products used at the paint booth. In beta testing, users reached a given SDS up to 40% faster than with a facility-wide library, and up to 95% faster than with a paper binder. Once a worker accesses the system, Optic UX takes over. It is sdsLite's modern interface for industrial settings, designed from hundreds of hours of research with people using SDSs on the job. It puts first aid measures, accidental release procedures, handling and storage guidance, and personal protection requirements near the top, with faster load times and clearer text than a scanned PDF.

SDS Currency

An SDS on file is only useful if it is the current version. Suppliers revise sheets when classifications change, and recent rule changes have triggered many revisions. These include OSHA's 2024 HazCom update, Canada's amended Hazardous Products Regulations and the revised EU CLP Regulation.

How sdsLite helps: sdsLite tracks vendor and regulatory updates for you and pulls new revisions into your library within 180 days. When a manufacturer revises a sheet, every Point of Use Library that includes that product shows the new version automatically. Your team does not have to chase suppliers or compare revision dates by hand, which is still routine with older systems. Because sdsLite focuses on the products you actually hold, your library stays small enough to keep accurate and quick to search.

Workplace and Secondary Container Labels

When a product moves from its original container into a spray bottle, day tank or wash station, the new container needs a label. OSHA addresses this in 1910.1200(f)(6), WHMIS calls these workplace labels, and COSHH and CLP set the same expectation for clear hazard communication.

How sdsLite helps: sdsLite generates secondary container labels on demand, formatted for HazCom, WHMIS and COSHH. Each label carries a QR code that opens the matching SDS, so the link between container and data sheet survives every transfer.

Chemical Inventory

You need an up-to-date list of the hazardous products on site and a clear idea of where they are used. OSHA requires the list as part of your written HazCom program . In the UK and EU, the same information feeds your COSHH assessments and Chemical Agents Directive risk assessments.

How sdsLite helps: The sdsLite dashboard gives you a live view of the hazardous products on site, and you can download your hazardous material inventory at any time. If you also need storage areas, floor plans or quantity tracking, sdsPlus adds them on top of everything in sdsLite.

Hazard Signage

Hazards should be visible where people work, store and handle chemicals. OSHA HazCom , provincial OHS rules in Canada and the UK Safety Signs Regulations all play a part here.

How sdsLite helps: sdsLite creates safety signage directly from your chemical data. Signs stay consistent across areas and update when your product list changes, with no design work on your side.

Worker Information and Training

Workers must be trained on hazards, labels and SDSs, and retrained when hazards or rules change. See OSHA 1910.1200(h), WHMIS worker education requirements and COSHH Regulation 12 .

How sdsLite helps: Training depends on accurate, consistent material. sdsLite gives your trainers current SDSs, labels and signage that match what workers see on the floor. When OSHA's November 20, 2026 deadline or a future rule change requires retraining, you are teaching from up-to-date sheets. Access data also shows which libraries and SDSs people open most, which helps you decide where to focus refresher sessions.

Inspection Readiness

An inspector can arrive at any time. You should be able to show a current, organized program without a last-minute scramble.

How sdsLite helps: Because updates, labels, signage and binders are generated from one library, your program reflects the current state of your site every day. Hypertrain.ai manages much of the administration for you, and most customers are live within 5 business days of uploading their existing SDSs. A platform does not need to do everything on this list itself but it does need to make each item easier, and it should never leave you guessing whether a sheet or label is current.

How to Build Your Shortlist

Once you know your obligations, use these questions to narrow the field. A platform that answers them well for your situation deserves a demo.

  1. Which jurisdictions does it support? If you operate in more than one country, or in several Canadian provinces or US states with their own plans, check that the platform tracks each regime you fall under.

  2. How do SDS updates happen? Ask who finds new revisions, how often they check, and how revisions are tracked in the system.

  3. Can a worker reach an SDS in seconds without a password? Login screens slow people down in an emergency. Contractors and first responders often have no account at all. Ask the vendor to demonstrate on a phone, in the actual work area. Many established platforms still feel like desktop software shrunk onto a small screen.

  4. What happens when the network is down? Look for a printable or offline backup that stays in step with the digital library.

  5. Does it produce labels and signage, or only store documents? Secondary labels and hazard signs are where many inspection findings come from.

  6. How much does it cost for your actual inventory? Compare pricing at your real number of SDSs and sites, and ask how the price changes as you grow.

  7. How long does setup take, and who does the work? Some platforms take months to configure. Others load your existing sheets for you.

  8. Will non-specialists be able to run it? Many sites have no full-time EHS professional. The platform should work for a facilities lead or office manager.

  9. Do you need inventory and container tracking now? Full inventory systems are useful for large or complex operations. For many sites they add cost and admin that nobody will maintain.

Some vendors advertise access to millions of SDSs. That mattered when getting a sheet meant writing to a supplier and waiting weeks for a reply. Your legal obligation is to keep a current SDS for each hazardous product in your workplace. A platform that manages those sheets, and does it well is worth more than one that lets you search millions you will never use.

Conclusion

Your shortlist should reflect your business, your jurisdiction(s) and the people who will rely on the system. If you need a compliant, easy-to-run SDS and hazard communication program, a modern, focused platform like sdsLite will get you there faster and for far less. It was built for the shop floor rather than the back office, and that difference shows the first time a worker scans a QR code in an emergency.

Whichever way you lean, test each candidate against the obligations listed above. Ask every vendor to show you, live, how a worker on your floor would find an SDS, print a label and get help when the network is down. The platform that handles those moments well for your workplace is the one worth choosing.
